Reading and Managing Your Messages

Webmail allows you the flexibility of reading and dealing with messages individually as well as managing them at the folder level.

Reading and Handling an Individual Message

To read a message, simply click on its subject. The entire message will be displayed in the right hand frame, and several options will appear at the top of the message:

  • To delete the current message, select "Delete."
  • To view the previous message in the same folder, select "Previous."
  • To read the next message in that folder, select "Next."
  • "Forward," "Reply" or "Reply All" by choosing the desired option (in the upper right hand corner).
  • Return to the folder containing the current message by clicking on "Message List" or by selecting the name of the folder in the left hand frame.

At the end of the "From" line in the message header, you may see an "Add" link, which allows you to add the sender's address to your address book.

There are two other options.

  • "View Full Headers" shows you the full headers for the current message.
  • "View Printable Version" allows you to print the text of the current message.

At the bottom of the message are some of the same options listed at the top as well as some new ones:

  • "Download this as a File" saves the current message for later use.
  • "Previous" opens the previous message in the list.
  • "Next" opens the next message in the list.
  • "Delete & Prev" deletes the current message and opens the previous one.
  • "Delete & Prev" deletes the current message and opens the next one.
  • "Move to" has a drop-down menu that allows you to move the current message to any of your other folders.
  • "Take Address" offers another opportunity to save the sender's address to your address book.

Options for handling a message

Managing Messages at the Folder Level

You can also delete or move messages from within the folder that contains them. If you are reading a message in the desired folder, choose the "Message list" link at the upper left of the right hand frame. To open a different folder, choose its name from the left hand frame.

  • To delete an individual message from the list, mark the checkbox next to it and choose the "Delete" button (on the right side of the frame).
  • To delete all messages in a folder, select the "Toggle All" link (lower left corner of the right hand frame). This will simultaneously change the status of all the messages (unchecked to checked, or vice versa). Once you have marked the messages you want to remove, select the "Delete" button.
  • To delete most of the messages but keep a few of them, use the "Toggle All" link to mark them all. Then individually unmark the checkboxes of those messages you wish to keep. Select the "Delete" button to remove the marked ones.
  • To move a message to another of your e-mail folders:
    1. Mark the message's checkbox.
    2. From the "Move selected to" drop-down menu, choose the destination folder.
    3. Select the "Move" button.

NOTE: Moving messages to other folders will not free up any of your e-mail storage space. To recover some of this space, you will need to do one or more of the following:

  • Delete some messages permanently. However, if you've used up all your alloted e-mail storage space, you won't be able to delete messages. To solve this problem, see Exceeding E-mail Quota.
  • Download and save messages elsewhere.
  • Archive some of your messages as indicated below.

Archiving your messages
