Shared Mailbox is a fee-based service offered by OIT that

• Allows more than one person to read the messages coming to a particular campus e-mail address.
• Has an address and storage space that are separate from the address and storage space of a personal Unity e-mail account.
• Can have an alias that reflects the purpose of the mailbox; e.g., journal-editor@ncsu.edu.
• Is available to anyone who has a Unity account.

Uses

• Access for specific individuals
  Examples:
  • A committee chair allows selected committee members to respond to e-mail while she is on vacation and then withdraws that privilege when she returns.
  • Selected committee members are granted certain privileges on an ongoing basis.
• Dedicated use
  Example:
  • A journal editor receives manuscripts in a mailbox separate from his Unity e-mail. He allows access to it by his secretary and the manuscript reviewers.

Storage space
Each shared mailbox comes with 100 MB of space (quota), which you can increase if needed. For the current cost of additional storage space, see OIT Service Rates.

Cost

• $50 per fiscal year if the user administers the access permissions for the box
• $75 per year if OIT administers the access permissions.

NOTE: A General Ledger 5 account cannot be used to pay for a shared mailbox.

Getting a shared mailbox

1. You submit a request to help@ncsu.edu, including:
   • the names of each person who will be responsible for the mailbox
   • her/his affiliation with NC State
2. OIT prepares a Service Level Agreement (SLA), which covers the use of the box for one fiscal year.
3. You sign the SLA.
4. OIT sets up the mailbox.
5. The administrator specified in the SLA grants access to it.

Access

• Through a Web-based e-mail program
  Go to http://shared-mail.ncsu.edu/
  Log in with your Unity ID and password.
• Through your regular IMAP-based e-mail program
  (e.g., Thunderbird, Outlook).
  During your e-mail setup, specify shared.mail.ncsu.edu as the "Incoming Server."

User privileges

• All users:
  Read the messages in the mailbox.
• Users with appropriate levels of access:
  • Add users to the mailbox access list
  • Remove users
  • Create subfolders in the mailbox
  • Post messages
  • Delete messages
