Personal Greeting
You can record up to six personal voice mail greetings, each up to 90 seconds in length. You can enable as many of them as you want, and you can specify how long you want each one to be enabled. Enabling some greetings will override others. The six personal greetings and their uses are described below.

Alternate
For extended absence, vacation, or other special circumstances during a specific time period, enable your Alternate greeting. (For example, “I will be out of the office until <date>.”) Here are some characteristics of this greeting:
- When it is enabled, your Alternate greeting overrides all your other greetings.
- Your voice mail system administrator specifies whether:
- the system transfers callers to your Alternate greeting without ringing your phone
- callers are able to skip your Alternate greeting
- callers can leave you a message when your Alternate greeting is enabled.
- The Alternate greeting page in the Messaging Assistant indicates the enabled caller options, if any. These options do not apply when an outside caller dials your extension directly.
- Other campus voice mail users do not hear your Alternate greeting, but they do hear your recorded name. When you enable your Alternate greeting, consider changing your recorded name to let them know that you are out of the office. Your recorded name also plays when callers look you up in the directory.
- When you have your Alternate greeting turned on, the Cisco Personal Communications Assistant Home page indicates this.
- You can configure your voice mail to remind you when you sign in by phone that your Alternate greeting is enabled.

Busy
To let callers know when you are on the phone, enable the busy greeting .
Example, “I am currently on another line, please leave a message.”
When your phone is busy and the Busy greeting is enabled, it overrides the Standard, Closed, and Internal greetings.

Internal
To provide information that coworkers need to know, enable the Internal greeting .
Example, “I will be in conference room B until noon today.”
When enabled, the Internal greeting overrides the Standard and Closed greetings. It plays only to callers within your organization when you do not answer your phone.

Closed
If you want a special greeting to play during the nonbusiness hours that your voice mail administrator has specified for your organization, then enable the Closed greeting .
Example, “Sorry, I am not available to answer your call. University office hours are <times>.”
When enabled, the Closed greeting overrides the Standard greeting during nonbusiness hours.

Standard
The Standard greeting plays during the business hours that your voice mail administrator specified for your organization, or in other situations when no other greeting is enabled. By design, the Standard greeting cannot be disabled.

Holiday
Enable the Holiday greeting if you want callers to hear a special greeting during a holiday.
Example, “Happy holiday. I am not available to answer your call. I will be out of the office from <date> to <date>.”
When it is enabled, the Holiday greeting overrides the Standard greeting during nonbusiness hours.

Settings
Turn on (enable) a greeting
When you turn on a personal greeting, you specify how long you want it to be available. The voice mail system plays the greeting whenever applicable until the date and time you specifed and then turns it off. For example, you can set your Alternate greeting to stop playing on the day that you return from a vacation.
- From the Messaging Assistant menu bar, select Greetings.
- Select View Greetings.
- Click on the name of the greeting you want to turn on (enable).

- In the Status section, select one of these options:
- Enabled with No End Date and Time. This is useful when you turn on a Busy or a Closed greeting.
- Enabled Until and specify the date and time for the greeting to stop playing.

- When you finish making changes in this section or on this page, click on either of these:

on the menu bar - Save button
at the bottom of the page.

Turn off (disable) a greeting
- From the Messaging Assistant menu bar, select Greetings.
- Select View Greetings.

- Click on the name of the greeting you want to turn off (disable).

- In the Status section, select Disabled. The greeting will stay in the system but will not play again until you enable it.

- In the Callers Hear section, mark the radio button for System default greeting.

- When you finish making changes in this section or on this page, click on either of these:

on the menu bar - Save button
