Voice Mail Instructions

Voice Mail works like an answering machine. Callers can leave a recorded message for subsequent retrieval. However, a voice mailbox can do things that answering machines cannot, such as:

  • Send a copy of a message.
  • Send the same message to more than one person.
  • Reply to messages without having to call the person’s telephone number.

Each roommate will have his or her own personal mailbox, which is included in the local telephone service rate.

How to set up your voice mailbox

Note: A touch tone telephone is required to initialize your voice mailbox, retrieve messges, change options, etc. You can leave message in a voice mailbox from any touch tone telephone.

Getting Started (Initializing the Mailbox)

  • Call the voice mail system from your room phone by dialing 2-6245.
  • The voice mail system will answer.
  • Listen and respond appropriately to the tutorial. YOU CANNOT SKIP THE TUTORIAL. You will only do this ONCE!

 

Retrieving Messages:

Using Your Room Phone:

  • When a message has been left for you, notification will be provided by an interrupted (stutter) dial tone which will be noticeable whenever the telephone receiver is lifted to make an outgoing call.
  • To retrieve a message using your room phone, dial the voice mail system at 2-6245 and follow the prompts when the system answers. A message may be skipped by depressing the # key.
  • Skipped messages are saved until someone erases them or until erased by the system after 15 days.

 

Using Someone Else’s Room Phone:

  • To retrieve your message using someone else’s room phone, dial the voice mail system as usual at 2-6245.
  • Depress the * key when the system answers.
  • Enter your mailbox number. This is your seven digit phone number.
  • Follow the remaining system prompts.

 

Using Off-Campus Phones Or Campus Phones Without Voice Mail:

  • To retrieve your messages using off-campus phones, dial the voice mail system being careful to dial the full telephone number (512-6245) including the area code (919) if you are calling from ea location that is long distance.
  • Depressing the # key when the system answers.
  • Enter your mailbox number. (This is your seven digit phone number.)
  • Follow the remaining system prompts.

Getting Started (Initializing the Mailbox)

NOTE: Make sure you are at your 512-XXXX number to set up your voice mailbox. We suggest that both roommates set the mailbox up together, so that each person knows what extension they are.

  • Choose if you want to be extension one (1) or two (2).
  • Call the voicemail system at 2-6245.
  • Enter the initial password for the extension you choose.
  • Enter the extension number (1 or 2, which ever one you choose).
  • Listen and respond appropriately to the tutorial. YOU CANNOT SKIP THE TUTORIAL. You will only do this once.
  • During the tutorial you will be asked to change the initial password to a new password of 6 to 15 digits that you assign. Remember this number! If you forget your password your mailbox will have to be reinitialized.
  • Record (by speaking) your name. YOU HAVE TO DO THIS FOR THE MAILBOX TO PROPERLY FUNCTION.
  • Record a personal message to be played to callers.

Helpful Voice Mail Hints

Important Mailbox Information:

  • Maximum length of personal greeting is 30 seconds.
  • Maximum length of a message left in your mailbox is 2 minutes.
  • Maximum number of stored messages is 20.
  • Heard messages are deleted automatically after 7 days.
  • Unheard messages are deleted automatically after 15 days.

How do I change my password?

  • Call the voice mail system.
  • Enter your current password.
  • Enter the extension number (1 or 2). (Omit this step for ESKV)
  • Press 4, then 2, then 1, and then 1 again.
  • Enter your new password.

 

How do I re-record or change my name?

  • Call the voice mail system.
  • Enter your password.
  • Enter your extension number (1 or 2). (Omit this step for ESKV)
  • Press 4, then 3, then 3 again.
  • Record the new name.

 

Why is the message indicator stutter tone off?

Notification may be off.

How do I turn notification on?

  • Call the voice mail system.
  • Enter your password.
  • Enter your extension number (1 or 2). (Omit this step for ESKV)
  • Press 4, then 1.
  • Follow the prompts to turn notification on.

 

Why does the system tell me, “I’m sorry, that is not the correct password?”

  • Password may have been entered wrong – try again.
  • Check to see if the phone is on pulse rather than tone.
  • If the phone is on tone, the mailbox needs to be reinitiailized. Call Communication Technologies at (5-7099).
