A revised version of the System Access Removal Procedures for Separating Employees is now available via a comprehensive website.
These procedures provide detailed information to securely manage access to data when an employee leaves a campus department or university, including:
- A referenced asset and system tracking form to track an employee’s access to university assets.
- Instructions to remove access to various entities and systems such as campus Unity accounts, email, calendars, G-Suite and network files, personally owned devices, and applications.
- Instructions to handle rapid and sensitive separations.
- Instructions to remove access for employees who are transferring to another campus department, remaining as a student, or both.
The key to successfully remove access from a separating employee is to promptly involve university management; college, division and department human resources personnel; and appropriate IT staff.
