Tools
- TeamDynamix – an online tool used to track and manage projects in OIT. If yours is a “portfolio” project it should have a record in this system. You may also use this tool to manage other unit or team projects
- PPPS Client Portal – This TeamDynamix website allows people that do not have a TeamDynamix license to view project information and provided updates on project assignments.
- TDNext – This is the full TeamDynamix web application. Use of this application requires a paid license.
- Smartsheet – an online project management tool intended for collaborative use. It includes a Gantt chart area, attachments, discussions, an area for update requests, a tool for web forms, and publishing options. Participation in projects using this tool does not require a license. Only users with a paid license can create projects.
- Microsoft Project – a project management software offered by Microsoft, designed to assist a project manager in developing a plan, assigning resources to tasks, tracking progress, managing the budget, and analyzing workloads.
- Doodle Poll Request (available to OIT staff only) – request a branded and ad-free Doodle Poll to help identify common availability for a group of inside and outside participants. Details can be found in an OIT knowledge base article.

Budget Template | This template is an in-depth review of all project costs including the estimated, approved, and actual costs. It also records the budget on a phase basis and includes a planning area for managing costs. | |
Change Log | The change log is a document that is used by the project team to log and track change requests throughout the life of the project. This document should be updated as new change requests are submitted or as existing change requests are approved, rejected, or deferred. | |
Decision Log | A decision log is a list of all the key decisions made on the project. | |
Project Management Plan | A formal document designed to guide the control and execution of a project. A project plan is the key to a successful project and is the most important document that needs to be created when starting any project. | |
Project Workbook | The work book template is for lite projects making the workbook a one stop place for everything. The project management plan includes all the areas necessary elements for starting a project. The workbook follows a phase flow which is laid out in read me instructions. | |
Quality Management Plan | This template allow the manager to record information of quality testing including the team member, test identification, testing date, testing methods, defect description, etc. The template is divided into 3 sections: Test Summary, Test Results, and Defect Log. | |
RACI Chart | A RACI chart is a matrix chart that identifies the role and authority with respect to completing the tasks within a project. | |
Requirements Management Register | Critical to the success of any project is gathering, understanding, and managing its requirements. Requirements may be used as input to develop a proposal, quote, statement of work (SOW), contract, project plan, project schedule, etc. | |
Risk Management Plan | A document that the team prepares to foresee risks, estimate impacts, and define responses to the issues. | |
Schedule Management Plan | The purpose of the schedule management plan is to define the approach the project team will use in creating the project schedule. The plan also includes how the team will monitor the project schedule and manage changes after the baseline schedule has been approved. This includes identifying, analyzing, documenting, prioritizing, approving or rejecting, and publishing all schedule-related changes. | |
Scope Template | A guide to determining scope and how it will be managed. This template includes team roles, deliverables and milestones, technical requirements, and exclusions. | |

Project Management Glossary | The project management glossary provides definitions to common terms used in the project management process. It also includes other resources to give more information on the terms. | |
Agenda/Meeting Templates | ||
These templates are optional guides for recording meeting agenda’s and meeting minutes. Some offer both a spreadsheet and a document version based on the user’s preference. Users should make a blank copy of the template each time they have a new meeting, rather than recording all the meetings in the same document. | ||
