Alumni email service: frequently asked questions

  • Your alumni email account provides an email only Gmail account; there are no other services or apps available (e.g., calendar, Meet, Chat).
  • How do I get copies of my student data? Once eligible for an alumni email account, students will also be able to transfer a copy of their student My Drive files and emails to a personal Google account. Students will be provided access to Google’s copy content transfer tool (you can’t use this tool until you have been granted access). It will copy:
    • Email in Gmail (not contacts, chats, or tasks)
    • Documents that you own in Google Drive (except files in the “Google Photos” section of Drive)
    • Note that files in My Drive won’t be copied if either of the following are true:
      • You’re a viewer, not an editor or owner
      • The owner has turned off download, print, and copy options for commenters and viewers
    • Note that any data stored in Shared Drives will not be copied by this tool since Shared Drives are owned by the University.
  • For other types of data, students will use Google Takeout  – see download your data.
    • For example, you can download your Gmail contacts, YouTube videos, and your photo albums in Google Photos.
  • Should I transfer my current student email to my alumni email account?
    • This is not recommended due to limited storage. Instead, use a personal Gmail account to transfer your student emails.
  • What if I get more email to my alumni account than I have room for?
    • Email will continue to deliver, however, your ability to send and receive email may be impacted if you are over quota.
    • If you have another preferred email address consider setting email forwarding from your alumni account to that one. 
      • You can “send-as” your alumni address from your preferred email.
  • I made a YouTube channel with my NC State Google account. Can I keep that, what are my options?
    • Your YouTube content will go away when your student account is deactivated. It is your responsibility to transfer any content to a personal account.
  • I’ve connected my NC State Google account to other online services, what should I do?
    • It is extremely important that you immediately start going to services you use and edit your profile or account information to update your email address if you used your NC State student one. 
    • Below are a sampling of services students might tie to their student account. Be sure to set aside some time to review all of these:
      • Subscription services (online streaming, etc)
      • Facebook
      • Instagram
      • Snapchat
      • TikTok
      • AppleID
      • Personal bank account(s)
      • Mailing services
  • I’ve published under my name using my NC State Google account. What options do I have for people to find me after my student account is disabled?
    • Update your publications and link to your new, preferred email address.
    • Google Scholars, researchgate.com and other research tracking services allow you to set up your own account and claim papers written by yourself if your email address has changed – such as losing access to your ncsu.edu email account.
  • What if I come back to school as a student or employee again?
    • If you return to NC State in a student or employee role, your alumni account will continue to function and will remain separate from your NC State Google account.
    • All official communication (as either student or employee) will be sent to your NC State Google account
  • Why are we only getting email services?
    • In the spring of 2021, Google announced that it would discontinue unlimited storage for education institutions. This change will significantly impact NC State and due to the limitations on storage the decision was made to offer students the opportunity to retain an affiliation to NC State with an alumni email-only account (2GB quota). 
    • Students will be provided the opportunity to transfer a copy of their My Drive files and emails to a personal Google account. OIT does not recommend moving email to your alumni email account since it has limited storage. 
  • I’ve changed my name and now my Alumni account doesn’t reflect my new name. How can I get it changed?
    • OIT is unable to change your unityid, but as a user,  you can change your display name to reflect your preferred name.
  • Why are pre-May 2010 graduates undecided at this point
    • When NC State went with Google as a service in 2010, we provisioned accounts for all incoming students. Unfortunately for pre-May 2010 graduates, we are not able to provision accounts.
    • Consideration of expanding the alumni domain is a longer term project that has not been decided yet. 
    • Alumni who graduated prior to May 2010 can complete this form which will be shared with the NC State Alumni Association and they will notify you if or when this option becomes available.
